Easy-to-use event planning playbook

Planning events challenges every project manager. You’re likely coordinating multiple vendors and partners, managing precise timelines, and accounting for many factors outside of your control. It’s always stressful, and no matter how well you plan, you’ll have last minute hiccups that leave you scrambling.

The only good news is that event planning is a repeatable process, and you can get better at it over time. I find it helpful to use a playbook that walks me through asking the right questions, nailing down details, and tracking who’s doing what.

Here’s my go-to approach.

Filling out this template will help you understand what information you need to confirm to successfully plan a public event. Use it to create your own to-do list and drive the agenda for any planning meetings.

Please note: I use a different template for planning team meetings or sessions that I’ll be facilitating (and I’ll share that one soon!). This template is helpful for community or public events where you’ll be marketing an event to a wide audience. If you have feedback, suggestions, or additions to this template, please let me know! I’d be thrilled to continue improving this template to help folks save time and build effective processes.
